The Institute for NanoBioTechnology has five conference rooms available for the INBT and Johns Hopkins community on the Homewood campus. They are located in Croft and Shaffer Halls, and are for general meeting purposes only (not course-related activities). Reservations are on a first come first serve basis, but priority is given to personnel conducting INBT business. The INBT holds the right to refuse and cancel a reservation. All efforts are made to respond to requests in a timely manner.
To preserve the rooms for all to enjoy, room and reservation polices apply to all attendees. Failure to adhere to the policies risks reduced or revoked room privileges. Additionally, host(s) and attendees are financially responsible for damages should they occur. You can download a copy of our policies in the resources section below to share with all attendees.
Croft Hall G40
Location: Ground floor on the northeast side of the building.
Capacity: Twenty (20) people.
Amenities: Rectangular conference table for ten to twelve people with additional seating along the wall for about ten, buffet table, projector, lectern, one whiteboard, two monitors, and Zoom capabilities.
Croft Hall 105
Location: First floor in the 104 suite on the south side of the building.
Capacity: Four (4) people.
Amenities: Circular conference table, four chairs, and one whiteboard.
Access: Reservations outside business hours are available to INBT members only as the suite is locked.
Croft Hall 110
Location: First floor in the 104 suite on the south side of the building.
Capacity: Sixteen (16) people.
Amenities: Rectangular conference table with seating for ten people with additional seating along the wall for about six people, three file cabinets, one whiteboard, one lectern, and one monitor with a HDMI connection cable located in the conference table.
Access: Reservations outside business hours are available to INBT members only as the suite is locked.
Shaffer Hall 201
Location: Second floor in the center of the building.
Capacity: Three (3) people.
Amenities: Circular conference table, three chairs, and two white boards.
Shaffer Hall 204F
Location: Second floor through the 204 suite in the center of the building.
Capacity: Fourteen (14) people.
Amenities: Rectangular table with seating for ten people and additional seating along the wall for about four people, two whiteboards, one monitor, and Zoom capabilities.
Access: Access to the suite requires swipe access. If you do not have swipe access, consider an alternative room.
Room Policies
• Room use requires a confirmed reservation. If you are in a room without a confirmed reservation, you will be told to leave.
• Complete meetings on time. Be respectful of the team that has a meeting in the room after you.
• You are responsible for your own supplies. The INBT does not provide adapters, chargers, laser pointers, office supplies, tableware, etc.
• Handle equipment and furniture with care.
• Report damages to an INBT staff member immediately.
• Keep rooms clean and orderly.
– Sanitize furniture. Supplies are in each conference room.
– Dispose of trash in receptacle.
– Clean whiteboard.
– If you close window shades and blinds, open them before leaving.
– Do not add, remove, or rearrange furniture, equipment, and supplies.
– Turn off electronic equipment before leaving. E.g., lights, monitors, projectors, etc.
• Food and beverages are allowed in rooms; however, you must thoroughly clean the room when finished.
– Wipe down counters, tables, and chairs.
– Pick up food that fell on the floor. Report spills on carpets immediately to an INBT staff for proper cleaning.
– Dispose of trash in receptacles outside of the conference rooms.
– Take all food and beverage products with you.
Reservation Policies
• Plan early. Rooms book quickly, are on a first come first serve basis, and are not guaranteed. Priority is given to personnel conducting INBT business
• Rooms can only be booked for a maximum of two (2) hours. The only exception is a thesis defense with three (3) hours maximum.
• Be detailed about your reservation’s purpose in the booking form. For example, writing “meeting” is insufficient.
• If you’re a scheduler making a reservation on behalf of another party, you must include their name and email address in the request form. You are also responsible for informing them about the policies and liabilities.
• Rooms can only be booked for a semester at a time.
– Fall semester reservations (September – December) open August 1.
– Spring semester reservations (January – May) open December 1.
– Summer semester reservations (June – August) open May 1.
Other Important Information
• Croft and Shaffer Hall are unlocked between 7 am – 7 pm. Access to the building outside of these hours require swipe access.
• Conference rooms are unlocked Monday – Friday between 8:30 am – 5 pm. If you need access outside of these hours, you need to arrange access.
• Conference rooms 105 and 110 are inside the 104 suite. The 104 suite is unlocked between 8:30 am – 5 pm. Access to these rooms outside of business hours require swipe access. If you do not have swipe access, consider an alternative room.
• Conference room 204F is inside the 204 suite and require swipe access. If you do not have swipe access, consider an alternative room.

Accessibility
Accessible entrances are located on the west side of Shaffer Hall and the north side of Croft Hall. The building are connected by a common wall. Access to one building gives you access to the other. The Croft Hall elevator is located on the north side of the building and goes from the basement to the third floor. The Shaffer Hall elevator is located in the center of the building directly across from the accessible entrance. It goes from the ground floor to the third floor.
Additional Conference Rooms
If an INBT conference room is unavailable or your meeting is ineligible for a reservation, the Homewood campus has many options. Below is not a comprehensive list. Individuals should review 25Live and consult with other Johns Hopkins entities about room availability.
• Contact your home department administrators and the departments within your school or division as they typically have reservable conference rooms.
• If you need a room for course-related purposes, contact the department where the course is hosted for access to department-controlled spaces. The Office of the Registrar also has reservable general pool classrooms.
• Homewood Scheduling & Events has reservable rooms for events and meetings. Note – Homewood Scheduling & Events requires requests to be submitted 15 business days prior to your event.
• The Milton S. Eisenhower Library and Brody Learning Commons have rooms for Hopkins students with an active J-card. The Milton S. Eisenhower library is closed for a multiyear renovation and modernization project. The Brody Learning Commons remains open.
• The Imagine Center has reservable and non-reservable multipurpose rooms for career service needs, group meetings, retreats, presentations, and more. Priority is given to student needs first followed by the faculty and staff.
• The Hopkins Student Center has rooms for students, student organization, and university departments.
• The Center for Learning Design and Technology in the Stieff Silver building has reservable multimedia and conference rooms.
